Airthority LLC ("Airthority," "we," "us," "our") operates a platform connecting property owners and property management companies with Florida-licensed mold assessors. This Privacy Policy describes how we collect, use, share, and protect personal information from assessors who join our network and clients who use our services.
Your privacy matters to us. We collect only the information necessary to operate our platform, verify credentials, process payments, and provide quality service. We do not sell your personal information to third parties.
1. Information We Collect
From Assessors (Independent Contractors):
- Personal identification: Full name, email address, phone number, business name
- Professional credentials: Florida Mold Assessor (MRSA) license number, expiration date, additional certifications
- Insurance information: Insurance provider, policy numbers, coverage amounts, Certificate of Insurance (COI) documents
- Professional background: Years of experience, number of assessments completed, education level, service area
- Payment information: Business bank account details for ACH payments, tax identification (W-9 form with EIN/SSN)
- Work product: Field data, photos, assessment findings, moisture readings, sample results you upload
- Communication records: Emails, messages, phone call logs, and correspondence
From Clients (Property Owners & Property Managers):
- Contact information: Name, email address, phone number
- Property information: Property address where assessment is needed, property type, access instructions
- Payment information: Credit card or ACH details (processed through third-party payment processors)
- Assessment details: Mold concerns, moisture issues, requested services, timeline
- Communication records: Booking requests, scheduling messages, feedback, complaints
Automatically Collected Information:
- Usage data: Pages visited, time spent on site, links clicked, features used
- Device information: IP address, browser type, operating system, device identifiers
- Cookies: Session cookies for login, analytics cookies to improve our service
2. How We Use Your Information
Assessor Information:
- Verify your Florida MRSA license status with the Florida Department of Business & Professional Regulation (DBPR)
- Confirm active insurance coverage by reviewing Certificate of Insurance documents
- Match you to client assessment requests based on service area, availability, and specialization
- Process payments via ACH to your business bank account on Net 30 schedule
- Generate 1099-NEC tax forms at year-end for IRS reporting
- Communicate about lead assignments, scheduling, and administrative matters
- Monitor quality and performance to maintain network standards
- Generate protocol reports from your uploaded field data
- Resolve disputes or complaints from clients
Client Information:
- Schedule and coordinate mold assessments at your property
- Match you with licensed assessors in your area
- Process payment for assessment services
- Generate and deliver mold assessment protocol reports
- Provide customer service and support
- Send booking confirmations, appointment reminders, and follow-up communications
- Request feedback and reviews (with opt-out option)
- Improve our services and platform functionality
General Business Operations:
- Comply with legal obligations, tax laws, and regulatory requirements
- Prevent fraud, abuse, or misuse of our platform
- Enforce our Terms of Service and independent contractor agreements
- Analyze platform usage to improve user experience and features
- Communicate important updates, policy changes, or safety information
3. How We Share Your Information
We share your information only as necessary to operate our platform and provide services:
With Service Providers:
- Payment processors: Stripe, PayPal, or other processors handle credit card and ACH transactions
- Email services: SendGrid, Mailgun, or similar platforms for transactional emails
- Cloud storage: AWS, Google Cloud, or similar services for secure data storage
- Accounting software: QuickBooks or similar platforms for financial records and 1099 generation
- Analytics tools: Google Analytics for website usage insights (anonymized when possible)
All service providers are contractually required to protect your data and use it only for specified purposes.
Between Assessors and Clients:
- We share assessor contact information (name, phone, email, license number) with clients for assigned assessments
- We share client contact information and property addresses with assigned assessors to coordinate site visits
- Assessment reports include assessor license information and may include assessor business contact details
With Government Authorities:
- IRS: 1099-NEC forms for assessor payments over $600 annually
- Florida Department of Revenue: Sales tax reporting if applicable
- Law enforcement or regulators: If legally required by subpoena, court order, or investigation
- Florida DBPR: Verification of assessor licenses (public record lookups)
In Business Transactions:
If Airthority is acquired, merged, or sells assets, your information may be transferred to the successor entity. You will be notified of any such change via email.
What We DON'T Do:
- We do not sell your personal information to advertisers, data brokers, or marketing companies
- We do not share your information for third-party marketing purposes
- We do not use your data for purposes unrelated to our platform operations
4. Data Security
We implement industry-standard security measures to protect your personal information:
- Encryption: All data transmission uses SSL/TLS encryption (HTTPS)
- Secure servers: Data stored on encrypted, access-controlled servers
- Authentication: Password-protected accounts with secure login requirements
- Access controls: Only authorized Airthority personnel can access sensitive data, on a need-to-know basis
- Payment security: Credit card data is handled by PCI-compliant payment processors (we do not store full card numbers)
- Regular audits: Periodic security reviews and vulnerability assessments
Important: No system is 100% secure. While we use reasonable measures to protect your data, we cannot guarantee absolute security. You use our platform at your own risk and should use strong, unique passwords.
5. Your Privacy Rights
You have the following rights regarding your personal information:
Access and Correction:
You may request to review, update, or correct your personal information at any time. Assessors can update most information through the portal. Clients can email us to request updates.
Data Deletion:
You may request deletion of your personal information, subject to our legal obligations:
- We must retain financial records for 7 years (IRS requirements)
- We must retain contractor payment records for tax reporting (1099 forms)
- We may retain information necessary to resolve disputes or enforce agreements
- We may retain anonymized data for analytics purposes
To request deletion, email privacy@airthority.net with "Data Deletion Request" in the subject line.
Marketing Opt-Out:
You may opt out of marketing communications (newsletters, promotional emails) at any time by:
- Clicking "unsubscribe" in any marketing email
- Updating your communication preferences in your account portal
- Emailing privacy@airthority.net
Note: You cannot opt out of transactional communications (booking confirmations, payment receipts, important account updates).
California Residents (CCPA Rights):
If you are a California resident, you have additional rights under the California Consumer Privacy Act:
- Right to know: Request details about personal information we collect, use, and share
- Right to delete: Request deletion of your personal information (subject to legal exceptions)
- Right to opt-out: Opt out of sale of personal information (we don't sell data, so this doesn't apply)
- Right to non-discrimination: We won't discriminate against you for exercising your CCPA rights

Response Timeline:
We will respond to privacy rights requests within 30 days. If we need additional time, we'll notify you and may take up to 60 days total.
6. Data Retention
We retain your information for as long as necessary to provide services and comply with legal obligations:
- Active accounts: Retained while you participate in the Airthority network or use our services
- Assessor records: 7 years after last activity (IRS tax compliance requirements)
- Client records: 7 years after assessment date (legal and tax requirements)
- Payment records: 7 years (IRS requirements for 1099 reporting and business deductions)
- Assessment reports: 7 years (industry standard for mold assessment documentation)
- Communication logs: 3 years for customer service and dispute resolution
- Anonymized analytics: Indefinitely (no personal identifiers)
After retention periods expire, we securely delete or anonymize personal information unless legally required to retain it longer.
7. Cookies and Tracking Technologies
Our website uses cookies and similar technologies to improve functionality and analyze usage:
Types of Cookies We Use:
- Essential cookies: Required for login, session management, and basic site functionality. You cannot disable these without losing platform access.

Airthority operates in Florida, United States, and our platform is intended for U.S.-based users. If you access our platform from outside the United States:
- Your information may be transferred to and stored on servers in the United States
- U.S. data protection laws may differ from those in your country
- By using our platform, you consent to the transfer of your information to the U.S.
